Everything that expires, in one list

Sorted by date, so what’s due next is always at the top.

  • Software licences and subscriptions, with seats and renewal cost
  • Support and maintenance contracts, with the reference number to quote
  • SSL certificates, domains and hardware warranties
  • Secrets and API keys: where each one lives and when it runs out, never the secret itself

Reminders when you want them

Each item has its own reminders, so a certificate can warn you a month out and a contract three months out.

  • Pick from six months, three months, a month, two weeks, a week, the day before and on the day, or type any number of days
  • Each reminder shows in Pitlamp and can also email the team
  • Or put a card on the Kanban board, assigned to the item’s owner, so the renewal is tracked like any other job
  • One card per item: later reminders add a note and raise its priority instead of stacking up cards

The right people, every time

Renewals don’t depend on one person remembering.

  • Managers and admins always hear about every renewal
  • The item’s owner and anyone who subscribes get the reminders too
  • Managers can put other people on an item’s reminders
  • Record the renewal and the date moves on, the reminders start again and the card closes

Why IT teams track renewals in Pitlamp

No surprise outages

An expired certificate or lapsed licence is found weeks before it breaks something, not by your users.

No missed notice periods

Contracts that auto-renew are flagged in time to negotiate or cancel.

No secrets in spreadsheets

Record where a key lives and when it expires. Pitlamp warns you if a password is pasted by mistake.

Frequently asked questions

What can I track?

Anything with an end date: software licences and subscriptions, support contracts, SSL certificates, secrets and API keys, domain names, warranties and anything else you choose.

Does Pitlamp check SSL certificates automatically?

Not at the moment. You record each certificate’s expiry date, and Pitlamp reminds you before it. When you renew, record the new date and the reminders start again.

Does Pitlamp store our passwords or API keys?

No. Record where a secret is kept (your password manager or key vault) and when it expires. If something that looks like a password or key is typed into a note, Pitlamp asks before saving it.

Who gets the reminders?

Every manager and admin, the item’s owner and anyone who subscribes to it. Managers can add other people. Each reminder can email them, add a Kanban card, or both.

Is expiry tracking included in the price?

Yes. Every Pitlamp feature is included in the £9.99 per user per month price, excluding VAT.
